Most businesses asking whether to add an AI chatbot are really asking two separate questions: how many enquiries am I losing when nobody is available to answer, and how much of my team's week goes on questions a machine could handle.

This calculator answers both. Enter your traffic, your enquiry rate and your support volume, and it estimates the extra enquiries a chatbot would capture, the staff hours it would free, the cost of running it, and how long it takes to pay for itself.

How to use it

1. Choose your market and currency, then pick the size band closest to your business. Every field is prefilled with a typical figure for that profile.

2. Replace the traffic and enquiry figures with your own. Monthly visitors comes from your analytics. The enquiry rate is your form fills, calls and emails as a percentage of those visitors.

3. Set your average customer value and your close rate. Use first order value if you do not track lifetime value, and be honest about the close rate rather than using your best month.

4. Enter your support volume: how many customer questions you handle in a month, how long the average one takes, and your fully loaded hourly staff cost including employer costs.

5. Adjust the two sliders. The enquiry uplift is how much a chatbot would add to your current enquiry count. The resolution rate is the share of routine questions it can close without a person.

6. Set the quality slider to reflect how chat enquiries compare to form enquiries in your business. Lower it if your sale is expensive or your sales cycle is long.

7. Add your expected setup cost and monthly platform cost, then read the result. The month-by-month strip shows when the setup cost is recovered.

What the calculator is doing

Extra enquiries are calculated from your current enquiry count, not invented from your traffic, so the result stays anchored to how your site actually performs today.

Additional revenue applies your own close rate, then discounts it by the quality factor, because chat enquiries typically convert at a lower rate than completed enquiry forms.

Support savings are shown as hours first and money second. Treat the money as recovered capacity unless you would genuinely reduce staffed hours.

Year one cost combines setup and twelve monthly payments. Payback is worked out month by month, charging setup in month one.

Two figures move the result more than anything else: the enquiry uplift and the resolution rate. Both depend on how well the bot is trained on your own content, which is why a chatbot added to a site with thin service pages rarely reaches the numbers quoted in vendor case studies.

How much does an AI chatbot cost for a small business?

Most small business deployments sit between a few hundred and a few thousand in setup, then a monthly platform fee. The setup covers training the bot on your services, pricing and policies, then testing it against real questions. The monthly fee covers hosting, message volume and upkeep. The calculator asks for both separately because setup is a one-off and only affects your payback period, while the monthly fee runs against the return for as long as the bot is live.

What is a realistic ROI for an AI chatbot?

It depends almost entirely on your average customer value. A business selling a service worth four figures only needs one or two extra enquiries a month to cover the cost. A business with a low order value needs volume instead, which usually means high traffic. Rather than trusting a headline percentage, look at the payback period and the extra enquiries per month. If the bot has to produce more extra enquiries than you currently receive in total, the assumptions are too optimistic.

How many enquiries can a chatbot actually add?

Published case studies generally report somewhere between a fifteen and thirty-five percent uplift on existing enquiry volume. The gain comes from three places: visitors who will start a chat but will not complete a form, enquiries arriving outside working hours, and visitors who would have left because a question went unanswered. The uplift is larger on sites with slow response times and smaller on sites that already reply quickly.

Do chatbot enquiries convert as well as form enquiries?

Usually not, and the calculator accounts for this. Starting a chat takes less commitment than filling in a form, so a share of chat conversations are research rather than buying intent. The quality setting lets you model this. Seventy percent is a reasonable starting point for most service businesses, and lower is sensible where the sale is complex or expensive.

What percentage of customer questions can a chatbot handle on its own?

For a well-trained bot on a business with clear published information, somewhere between forty and sixty percent of routine questions is a fair expectation. Opening hours, delivery timelines, pricing bands, booking changes, returns and stock questions are all handled easily. Anything that needs judgement, account access or negotiation should reach a person, and the bot should hand over quickly rather than looping.

Does adding a chatbot help or hurt SEO?

It is neutral for rankings if implemented properly and harmful if it is not. Chat widgets that load heavy scripts before the page renders damage Core Web Vitals, which does affect rankings. Load the widget after the main content, avoid blocking scripts, and make sure it does not cover content on mobile. The chat content itself is not indexed, so it does not replace having proper service and FAQ pages.

Should I replace my contact form with a chatbot?

No. Keep both. Some visitors prefer a form, particularly for detailed briefs, and some will not use chat at all. The chatbot should be an additional route, not a replacement, and it should be able to hand a conversation to a form or a booking link when the enquiry gets serious.
